How to create an invoice
Creating invoices is easy with Invoicer.ai’s inline invoice editor. Simply fill in the fields. Information automatically saves as you enter it.
For Desktop and Tablet
Below is a step-by-step guide on how to create an invoice on desktop and tablet devices.
Sections
This brings you to the invoice editor where you can create your invoice.
In the From section, at the top right of the invoice editor, add your company details (name, address, phone, etc):
This information is automatically saved so you only need to enter it once.
3. Add a logo
Upload a file or drag and drop to add a logo:
4. Edit the heading:
5. Add client details
Under the Billed To section, add your client's name, address, phone number, and anything else in the info field:
6. Once a client is added the system automatically creates a client in the Clients section for you:
For future invoices, select the client from the drop-down:
7. Issued and due date
The system automatically applies today's date as the Date Issued and 30 days from today as the Date Due. Edit as needed.
8. Currency
Edit the currency if needed:
Invoicer supports 135+ currencies.
9. PDF language
Edit the PDF language if needed:
This changes the language of the invoice PDF.
10. Invoice number
Under Invoice Number, you can choose to leave it as is or edit. Our intelligent system automagically increments based on the invoice number format you choose.

Enter a Reference number if needed:

You can also change the highlight color using the color picker at the top right:
13. Adding line items
Now it is time to add your line items under the Item area.
Add a name, description, rate, and quantity to your line item:
14. Add tax
Select Add tax at the line item or in the subtotal section to add tax to your line item:
Add your tax %. You can also name the tax and add a tax number as part of the tax name. For example, State Tax (#1234567).
15. Delete tax
If you need to delete a tax, click the trash can icon to the right of it:
16. Once a line item is added, the Line Total updates to reflect this, along with the Subtotal, Total, and Amount Due.
17. Delete line item
If you need to delete a line item, click the trash can icon to the right of it:
18. Add additional line items by clicking + Add line item and follow steps 13-17.
19. Add another tax, if needed, following step 14.
20. Add a discount
One of the major strengths of Invoicer.ai is the ability to add multiple discounts to an invoice.
To add a discount, click the Add discount link in the subtotal section. Enter the $ amount or %:
You can also rename the discount text if needed.
Repeat for multiple discounts.
If you need to delete a discount, click the trash can icon to the right of it.
21. Add a deposit
Another major strength of Invoicer.ai is the ability to add multiple deposits to an invoice.
To add a deposit, click the Add deposit link under the total. Enter the $ amount or %:
You can also rename the deposit text if needed.
Repeat for multiple deposits.
If you need to delete a deposit, click the trash can icon to the right of it.
22. Add notes
This area is useful to add notes to the invoice as well as telling the customer you appreciate their business.
23. Add Terms
This area is useful for adding payment terms, preferred payment methods, and anything else of official nature.
24. Add attachments
Add pictures and documents by dragging and dropping or uploading to the attachments area at the bottom of the editor.
25. Send the invoice
Once your invoice is created, send it to your client by following the steps here.
26. Download the invoice
You can also download a PDF of the invoice by clicking the PDF button at the top or bottom of the invoice editor:
27. Select and edit PDF templates
You can select different PDF templates and edit them. Follow the steps here to learn how.
28. Automatic late payment reminders
Automatically send late payment reminders for unpaid invoices. Turn this on using the setting at the top of the editor:
