How to Use the AI-Powered Expense Manager

We’re excited to introduce our new AI-Powered Expense Manager, a useful tool to help you stay organized and in control of your expenses.

By keeping all your receipts, invoices, and documents in one central location, you’ll never lose track of your expenses. With our super-fast search feature, you can easily find any expense in seconds. Plus, exporting your data to your accountant or accounting software is easy, saving you time and simplifying your expense management.

Here's how to make the most of this new feature.

What is the AI-Powered Expense Manager?

The AI Expense Manager helps you:

  • Upload receipts, invoices, or any documents related to your expenses.

  • Automatically extract key details such as dates, amounts, vendor names, and more.

  • Quickly view all your expenses in a single, organized list.

  • Easily filter, sort, and search through your expenses to find exactly what you need.

  • Export all your expenses into a file that you can upload to accounting software or provide to your accountant or bookkeeper.

How It Works

Once you upload a document, our AI system processes the image or file to identify and extract important details like:

  • Date: When the expense occurred.

  • Amount: The total sum spent or invoiced.

  • Vendor: The name of the vendor, supplier, or client on the receipt or invoice.

These details will be displayed on your expenses dashboard for quick review and easy management.

  • Document Image: View the image when looking at the document and extracted data.

How to Get Started

  1. Upload Your Document:

    • Navigate to the Expenses section, upload a file or drag and drop. You can upload multiple files at once:

    • On mobile, simply take a picture of your receipt using your phone's camera, and upload it directly:

  2. AI Processing: Once uploaded, the AI will automatically scan and extract the relevant information from the document.

  3. Review Your Expenses: Your new expense will appear in your list, fully categorized and sorted by date. You can hover of the thumbnail picture to see a larger image of the expense.

  4. View Your Expense: Click into the expense to view the extracted data and make edits if needed.

  5. Edit and Categorize: You can select a category for the expense as well as edit and assign any of the fields.

  6. Filter, Sort, and Search: Use the filter and sort options to view your expenses by date, vendor, amount, or category (coming soon). Or, type a keyword in the search bar to find a specific expense.

  7. Export Your Expenses: Need to share your expenses with your accountant or import them into your accounting software? Click on the Download CSV button to download a CSV file with all your expenses. This file can be uploaded into platforms like QuickBooks, Xero, or other accounting tools for easy expense tracking and reconciliation.

Pending Updates

Expenses is a beta feature in active development. The following updates will be added in future updates:

  • Tagging: add tags to help organize and manage expenses.

  • Accounting platform export formats: Provide export files options for specific accounting software, like QuickBooks and Xero.

  • Automatic accounting software sync: Automatically sync expenses to accounting software.

  • Email expense import: Automatically add expenses by sending to an email.
