How to customize the email message when sending invoices, estimates, and reminders

When you send an invoice, estimate, or payment reminder, you can now write your own email message, add a CC recipient, and preview exactly what your client will see before you hit send. This works for one-off sends, scheduled sends, and recurring invoices

Write a custom message

  1. Open the document you want to send and click Send.

  2. In the Message box, type the message you want your client to receive. It appears in the body of the email above the View Invoice button.

  3. Click Send (or choose Schedule Send to send it later).

Your message can be up to 1,000 characters.

Add a CC recipient

Use the CC field to copy someone else on the email, like a bookkeeper, office manager, or second contact at the client's company. They'll receive the same email as your client.

Use placeholders

Placeholders fill in details automatically so you can reuse the same message across clients and documents. Click any of these below the message box to insert them:

  • Client name

  • Account name (your business name)

  • Document number

  • Amount due

  • Due date

For example, "please arrange payment by {{due_date}}" becomes "please arrange payment by September 11, 2026" in the email your client receives. Placeholders update automatically on scheduled and recurring invoices, so each send always shows the correct amount and due date.

Let AI write it for you

Click the AI icon in the corner of the message box and we'll draft a message for you based on the document you're sending.

Want to adjust it? Type what you'd like changed in the Refine it field, like "more formal" or "mention a discount", then click Refine.

Preview before sending

Expand the Preview section to see the exact email your client will receive, with all placeholders filled in with real values. Check it before sending, especially if you're using placeholders for the first time.

Save a default message

Tick Save as my default invoice message before sending and that message will load automatically the next time you send. Placeholders are saved too, so your default message always pulls in the right client name, amount, and due date.

You can change your default at any time by writing a new message and ticking the box again.

Scheduled and recurring invoices

Custom messages work the same way on scheduled sends and recurring invoices. Write your message once, and each send uses it with the placeholders filled in for that specific invoice. If you've saved a default message, recurring invoices will use it unless you set a different message for that series.

Common questions

Can I use a different message for estimates and reminders? Yes. The message box appears whenever you send an invoice, estimate, or reminder, and you can write a different message each time.

What does my client see if I leave the message blank? The email still includes the document details, amount due, and the View Invoice button. The message section is simply left out.

Can I CC more than one person? Enter additional addresses in the CC field separated by commas.

Does the AI see my client's information? The AI uses the document details (client name, amount, due date) to draft a relevant message. It doesn't send anything until you click Send.
